Separate audience from permission
An audience might be named people, members of an organization, or anyone with a link. Permission might allow viewing, commenting, or editing. A restricted audience with editing rights is different from a public viewing link. Check both settings before sharing.
Understand inherited access
A file may receive permissions from its parent folder or shared workspace. Removing a direct invitation may not remove access granted through another route. The exact behavior varies by service, so use the platform's access review tools to inspect effective sharing.
Apply the idea to a small project
For a fictional group assignment, classmates may need editing access while a reviewer needs only viewing access. When the project ends, review whether everyone still needs access. Avoid placing unrelated personal records in the shared project folder.
- Use named recipients when practical.
- Review link access separately from invitations.
- Check sharing again when moving a file between folders.
